Using KWarranty for quick and easy product registration

KWarranty can be used to capture product registrations via a range of channels.

Common use cases that are supported:

  • A dealer has all the relevant information and completes the full product registration process for a customer at the point of sale
  • A dealer has the customer's name and email address and sends them an invitation to complete their product registration
  • A customer registers their product without being prompted by a dealer

To get started, you will need to install the KWarranty application in your site.

1 Go to Website Manager, then Websites, open the management page for the relevant website, and click Find more apps.

2 Find and install KWarranty in your site.

Next the groups can be configured for the relevant user types.

3 Go to Groups & Users, then Groups, and open the settings for the primary dealer group.

4 Add the WarrantyAdmin role on This account.

5 Go to Groups & Users, then Groups, and create a group for the customers who will be registering their products.

6 Open the settings for the group, and add the WarrantyUser role on This account.

7 Go to Groups & Users, then Groups, and open the settings for the Public group.

8 Add the WarrantyUser role on This account.

9 Navigate to KWarranty, then Warranty Settings.

10 Set the relevant user groups, and select a user profile to associate with non-logged in warranty submissions, then click Save.

Any products that can be registered need to be set up as products in your product library. The minimum they require is a name, code, and SKU.

11 Go to Products & Stores, then Products, and create any products that can be registered.

Next the relevant components can be added to the site.

12 Go to Content, then Edit web pages, and add the relevant pages to your site.

You will need to create 2 pages - one internal where dealers can complete registrations or begin the process, and another public facing where customers can complete registrations.

Remember to add a link for dealers to the internal page.

13 Open KEditor for the internal warranty registration page.

14 Add the Warranty Registration component to the page.

15 Open the settings for the component and select This form is intended for dealers.

16 Save and close KEditor.

17 Open KEditor for the public facing warranty registration page.

18 Add the Warranty Registration component to the page.

19 Open the settings for the component and ensure This form is intended for dealers is NOT selected.

20 Save and close KEditor.

Next we will configure a journey to send the relevant emails and award points.

21 Go to Groups & Users, then Journey Designer, and create a journey.

22 Add a Begin node, followed by a Warranty Registration Submitted goal node, Send Email node, Warranty Registration Processed goal node, Send Email node, Approve Warranty Registration node, Grant Rewards node, and an End node.

23 Connect the nodes together, with Warranty Registration Submitted connected to the first Send Email node via When pending completion, and to the second Send Email node via When fully registered. Warranty Registration Processed should be connected to the second send email node via When put into pending.

24 Open the settings for the Grant Rewards node and select the points bucket, number of points to award, and reason.

Next the emails can be configured.

25 Open the settings for the first email node and click Edit email content, then configure the email settings.

This email will be sent to a customer asking them to complete their warranty registration when a dealer starts the process in-store.

The To address for the email needs to use the following KCode:

* |currentLead/warrantyRegistrationFromLead/warrantyRegisteredFor/email| *

When editing the email content, you will need to use the following KCode structure:

* |currentLead/warrantyRegistrationFromLead/warrantyRegisteredFor/firstName| * (Customer's First Name)

The link for the customer to finish their warranty registration needs to use the following in the URL, replacing the first part of the URL with the relevant customer facing page:

/warranty-registration-customers.html?registration= * |currentLead/warrantyRegistrationFromLead/registrationId| *

26 Open the settings for the second email node and click Edit email content, then configure the email settings.

This email will be sent to a customer when they have finished completing their registration, or when a dealer has submitted their full registration details in-store.

The To address for the email needs to use the following KCode:

When editing the email content, you may find the following KCodes useful:

* |currentLead/warrantyRegistrationFromLead/warrantyRegisteredFor/firstName| * (Customer's First Name)

* |currentLead/warrantyRegistrationFromLead/warrantyPurchaseDate/formatShortDate| * (Purchase Date)

Next the different workflows can be tested.

27 Log in to the site as a dealer, navigate to the warranty registration page, and complete the full process using test details.

Note the uploader does not accept PDF files, only image files. When viewing on mobile, there is an option to take a photo.

28 Check that the email has been sent as expected, and points have been awarded to the dealer.

29 Log in to the site as a dealer, navigate to the warranty registration page, and complete the customer details, then click Send Warranty to Customer.

30 Click the link in the email to view the site as a customer and complete the registration process.

31 Check that the email has been sent as expected, and points have been awarded to the dealer.

32 View the public facing warranty registration page, ensuring you are not logged in - you may find it easiest to use a private browser.

Submit the warranty registration as a test customer.

33 Check that the email has been sent as expected.

All registrations can be viewed in the Kademi admin portal, by going to KWarranty, then Registrations List.

Registration List Component

You may find it useful for dealers to see the history of warranty registrations they have submitted, and whether the customer has completed their part.

1 Go to Content, then Edit web pages, and open the internal warranty registration page with KEditor.

2 Add the Registration list component to the page, then Save and close KEditor.

3 Log in as a dealer to view the past claims - clicking the view icon goes to a detail page, with the option to submit claims against the warranty.

If the warranty claim feature is not required, this component can be hidden from the relevant template.
